CRM admin in plain terms

Someone keeps your CRM accurate so you can sell from it. That means logging calls and emails, updating deal stages, removing duplicate records, loading contact lists your business owns, booking demos and drafting quotes for you to approve.

The work happens in HubSpot, Salesforce, Pipedrive or a similar tool, under your account and your rules. The assistant never sells, quotes a price on its own or agrees terms with a buyer. If you already know which chores slow your reps down, that list makes a good starting scope.

How the CRM work usually runs

Most setups start with a cleanup pass. The assistant exports a snapshot, lists the duplicates, empty fields and stalled deals it finds, and agrees with you which fixes come first. Nothing gets merged or deleted in bulk without your sign off.

After that the work turns routine. Reps forward notes or tag the assistant in Slack, and activity gets logged on the right records. Deal stages move by rules you write down, for example proposal sent only once the approved quote has been emailed.

Quotes are drafted in the CRM or your quoting tool and wait for approval. Demo requests are booked against the calendars you share, and anything the assistant cannot place goes back to the rep as a quick question.

Before you grant CRM access

Adding an outside assistant to your CRM is routine, and a few checks make it safer. Use a seat in the assistant's name rather than a shared login, so every change shows who made it. Limit permissions too. Most admin work does not need rights to delete records in bulk, export the whole database or change billing on the CRM account.

Turn on two-step sign in for the seat if your CRM supports it, and keep the credentials in a password manager. Agree up front how access will be removed when the engagement ends. For general small business account security, CISA publishes plain advice.

Questions about crm and sales admin

Can the assistant clean up years of duplicate contacts?

Yes, and it is a common first project. The assistant lists likely duplicates, agrees merge rules with you and works through them in batches, keeping a log of what was combined. Bulk merges should be approved before they run, since a bad merge is hard to undo.

Who approves the quotes the assistant prepares?

Someone you name, usually the owner or a sales manager. The assistant builds the draft from your price book or template and routes it for approval. It reaches the buyer only after approval, and the assistant never changes pricing or terms on its own.

How will we know what the assistant changed?

Most CRMs keep a change history on each record, which is one reason a named seat matters. On top of that, ask for a short weekly summary: activity logged, merges made, deals moved, quotes drafted and anything waiting on a decision from you.
